Control of Engineering Progress is the Key to Successful Projects

Engineering drives capital projects.  In fact, without achieving key milestones during the engineering phase of a project, later procurement and construction phases will suffer.  Poor engineering progress invariably results in late placement of purchase orders and late award of installation contracts.  It may also lead to construction cost overruns due to a compressed construction schedule or a delay in the project end date due to late delivery of major equipment items.  So, it’s important that a project’s engineering tasks and deliverables be properly identified, budgeted and monitored to ensure that productivity and completion goals will not adversely affect procurement and construction goals.  PRISM Project Manager is the only commercial application on the market today that combines cost management, materials management and contracts management with engineering progress measurement.  The Engineering Package in PRISM Project Manager consists of two distinct modules, Engineering Progress and Document Control which are both described below.

 

Engineering Progress Module

The Engineering Progress module is an application used to develop the engineering budget and track engineering progress in hours for engineering tasks and deliverables including requisitions, specifications, drawings, and non-drawing tasks such as design and engineering supervision.  PRISM Project Manager’s Engineering Progress Module provides a simple and easy to use process to identify and budget engineering tasks and deliverables, budget hours for these items and report progress and performance against the engineering plan.  Controlling engineering progress will reduce the risk of the domino effect between project phases.

Document Control Module

The Document Control Module is an application used to track the issuance of engineering documents to and from vendors and clients.  It is integrated with the Engineering Progress, Procurement and Contracts Administration Modules to ensure accuracy and efficiency in recording documents for transmittal.

 

Projects are built with information.  Information comes in many forms and for capital projects, it typically involves preparing and distributing hard copy documents, such as drawings and specifications.  These documents are constantly being revised and distributed, for review, approvals, or to form part of a legal contract document.  Even after a contract has been awarded, the original documents could still be revised to include design changes due to new requirements or to include additional data that wasn’t available at award. Regardless of the reason for their distribution, revised documents need to be seen by all the interested parties to ensure that they are working to the latest design requirements.  Serious legal and monetary consequences could ensue if a party is not using the most current information.  The project manager must have a way to keep track of all issuances, acknowledgments, and receipts of project documents in order to eliminate future litigation and ensure cost and schedule goals are achieved.

 

PRISM Project Manager’s Document Control Module offers a solution.  It provides a means to record the issuance of all project documents to various interested parties as well as all pertinent information about the process.  It maintains a history of all documents issued, including their revisions and the receiver’s acknowledgment of receipt.  Also, any documents received in-house, such as vendor/supplier documents, that are essential in order to complete design engineering, are also recorded and their history maintained.
