The PRISM Procurement Package Reduces Cost and Schedule Risks

Purchasing and expediting are key functions in any project.  Items need to be purchased within budget constraints and delivered on time.  The procurement process can get very complicated, involving many steps from the time requisitions are prepared to when the items are finally delivered.  It’s a process that needs constant attention.  Typically, companies try to use manufacturing-based procurement systems which can lead to problems, because projects have budget and time constraints that such systems are not designed to handle.  The process of purchasing numerous widgets for a manufacturing system is far different from the process of purchasing a major piece of equipment for a project.   Any delay in delivery could result in a delay of the project completion date and result in major cost overruns and litigation.  The PRISM Procurement Package is designed specifically for project procurement and materials management. 

 

Modular Approach

The Procurement Package  has been designed with a modular approach.  The package consists of three individual modules including the Capital Equipment Module, the Procurement Module and the Materials Management Module.  Each of these modules can be used in a stand-alone fashion, but are most effective when used as an integrated solution for delivering materials and equipment to a project site.  The Capital Equipment list is usually managed by the process or project engineer, the procurement effort by the purchasing department and the materials management by the field forces so the modular approach allows complete integration of a single set of data across different departments in different locations.  No other commercial project management software has this capability.

 

Capital Equipment Module

Capital equipment is a large budget item of some projects.  In fact, depending on the industry, it could represent the largest and most important aspect in the design of a plant.  While the design and specification of all equipment is typically handled by the process, mechanical or electrical engineering disciplines, equipment design affects most other engineering disciplines.   For example, civil and structural engineers need equipment information to complete the design of structural members.  Piping and instrumentation engineers need equipment information to complete the design of piping and instrument hookups.  Without an efficient exchange of capital equipment information, a project is at risk of not meeting schedule, cost and quality requirements.   

 

The Capital Equipment Module is an application used for maintaining a project equipment list and for preparing engineering requisitions.  The equipment list includes information on all capital equipment such as design attributes, power requirements, instrumentation requirements and other detail information.  This module can also be used to prepare Engineering requisitions.  The data is sourced from the equipment list and used to create RFQs (Request for Quotations) in the Procurement Module.

 

Our Capital Equipment Module offers an efficient, economical and easy to use solution.  It provides a database to list and track changes to all capital equipment for the project. Capital equipment can include process equipment that is installed in the plant, spare parts, or mobile equipment that will be used during the operation and maintenance of the plant.  The database can also be accessed by all engineering disciplines.

Materials Management Module

On-site material management is an important function on any construction project.  Thousands or sometimes millions of items need to be managed.  Keeping track of every item to make sure it’s available when a construction crew needs it is a daunting task.  In the past, this has involved the need for creating complex software databases, which are very expensive to develop and maintain.  Due to cost constraints, most small to medium size companies either ignore materials management or control it manually by using a series of complex spreadsheets.
